Position Description
The Operations Manager is responsible for creating and maintaining effective and efficient operations within Illinois Legal Aid Online’s (ILAO) office. This position provides overall management of administrative, financial, and human resource functions, and supports ILAO’s Executive Director and other staff in various administrative and clerical activities. The Operations Manager reports to the Executive Director.
Major Responsibilities:
- Develop and maintain office systems and policies for the effective day-to-day management of the organization
- Support the Executive Director in administrative, human resources, and financial functions
- Provide administrative and clerical support to the Executive Director, and to other staff as assigned
- Coordinate, train, support, and encourage partner organizations in contributing to ILAO’s websites
Other Responsibilities:
- Maintain and update office policies and procedure manual
- Provide professional, service-oriented communications in response to office contacts/inquiries
- Bi-monthly payroll
- Support accountant in bookkeeping activities and with the annual audit
- Liaison to vendors, negotiating and securing agreements for services
- Administer health insurance, 403(b) plan, and all other employee benefits programs
- Provide administrative support for recruiting, hiring, and training of staff and student interns
- Create and maintain accurate personnel files
- Update and maintain employee leave tracking system
- Manage website registration process and registered users
- Manage organization’s general email account
- Write periodic newsletter for partner organizations’ website administrators
- Assist in preparing and distributing training and outreach materials and other ILAO publications
- Liaison to building management on all issues related to office space
- Oversee acquisition and maintenance of office furniture, equipment, and computers
- Organize, maintain, and when appropriate destroy paper and electronic files and documents
- Gather statistics and data to create various reports
- General office management tasks, including ordering supplies, buying postage, mail, coordinating meetings, maintaining staff calendar, filing, photocopying, etc.
- Manage security procedures within office including controlling storage and distribution of keys
- Attend staff meetings and other administrative meetings
- Perform other duties as assigned by the Executive Director
Position Requirements
- Bachelor’s degree or minimum of 2 years relevant experience in a professional office environment
- Exceptional computer skills, including proficiency in using the Internet, Microsoft Office (Word, Excel, Outlook, Access, PowerPoint), and Quick Books
- Superior organizational skills and attention to detail
- Strong oral and written communication and interpersonal skills
- Ability to juggle many projects at one time and meet all deadlines
- Good judgment in dealing with confidential and sensitive issues
- Works well on a team and willing to pitch in however needed to accomplish the goals of the organization
